Payment Terms
A deposit of £125/$225 per week is required to confirm the booking.
The final payment is due 8 weeks prior to your date of arrival. We reserve the right to treat non-payment of the balance by this time as a cancelled booking. After the full payment has been received you will be sent a receipt along with all the details you will require such as the villa address, driving directions and instructions for collection of keys.
Security Deposit
A security deposit of £200 is to be paid along with your final balance payment. This is to cover any breakages or damage to the villa and its contents. This deposit will be refunded within 28 days of your vacation ending provided no damage has occurred at the villa and the keys have been returned as instructed. If a key is lost, the cost of replacing the lock and keys will be deducted from the security deposit.
Our caretakers will inspect the property before and after your stay. Please note that guests are liable for any damage to the property or its contents even where the cost exceeds that of the security deposit. If you notice any damage to the villa or property on arrival you must report it during office hours to the management company within the first 24 hours of your stay, any damage or deficiency thereafter will be attributable to your party.
Cancellations
More than 8 weeks from the arrival date – loss of deposit.
Between 8 and 4 weeks prior – 50% of the total balance is retained.
Less than 4 weeks notice will result in the full payment being withheld.
At our discretion we may waive some of these charges. This will be dependant on us being able to successfully re-book the relevant weeks and subject to a £25/$50 handling fee.
The Rental Includes
• Accommodation including services e.g. gas, water and electricity
• Use of provided facilities such as sports and baby equipment.
• Use of the resort facilities.
The Rental Does Not Include
• Flights, Car hire, Holiday Insurance, Medical Insurance.
• The pool heating unless quoted in the rate.
• Telephone charges other than as specified in the villa welcome book.
Please note that these lists are for information and are not exhaustive.
Check-in/Check-out
Check-in is after 4:00pm (local time) on the day of your arrival.
Check-out is requested no later than 10:30am (local time) on the day of departure.
This is to allow sufficient time for cleaning and preparation prior to the next guests’ arrival. On occasions we made be able to extend this if the villa is not immediately booked.
Villa Occupancy/Party size
The property is fully licensed for short-term rentals in Florida. Every guest occupying the property must be listed on the booking form, including small children and the elderly. This is Florida State law and must be adhered to. Any changes to the guest list must be made in writing prior to your stay. The villa cannot be sub-let and only the persons shown on the booking form are permitted to stay in the villa. No pets are permitted, and inside the villa is strictly non-smoking. Persons under 21 years of age are not acceptable unless accompanied by parents or responsible adults. The owners reserve the right to refuse admittance if these conditions are not met. Failure to comply will render the booking void and no compensation will be paid.
The Swimming Pool
Please observe any signs posted in the vicinity of the pool. Pools can be great fun, however can pose a risk, especially to children. Our aim is to give you a perfect vacation, so please ensure the safety of any children staying at the villa.
The swimming pool and spa are used at your own risk. A safety screen is provided to make access for children more difficult but it is the responsibility of all guests to see children and non-swimmers are not left unattended. There is to be strictly no diving in the pool for safety reasons. There is to be no running around the pool edge in case of slippery surfaces. Please note that the surfaces leading onto the pool area can become slippery when wet. We do not accept responsibility for any loss or injury occasioned around the pool area.
To avoid any accidents from glass, only plastic-ware is to be used at the poolside and in the ‘games-room’. This is provided specifically for this purpose. If glass is broken in the pool a significant charge may be made for the draining and refilling of the pool along with repair to any damage to pool machinery.
A pool cover/blanket is provided and strongly recommended to be used during cooler periods to help maintain the heat of the pool. Please be aware of the dangers of having the pool cover on the pool – in particular it will not support any weight. The blanket must be fully removed from the pool before the pool is used as it may pose a drowning hazard.
Insects
There is an abundance of insects in Florida due to the tropical climate. The villa is treated on a regular basis to prevent problems. However insects may find their way into the villa and are best eradicated using appropriate sprays. Guests are requested to close doors and use the screens provided in the pool area to minimise the chances of unwanted pests. Ensure also that leftover food and other waste are disposed off promptly.
The Telephone
The telephone is free for emergency calls, local, toll-free calls and incoming calls – all other calls are restricted. It is recommended to use a pre-paid phone card or account that has a free phone access number for other calls. Any incidentals will be deducted from your security deposit.
Cleaning
There will be a thorough clean prior to your arrival and after your departure. Stays of less than 7 nights will result in a cleaning fee of $110. On your departure please ensure all dirty crockery is washed and check-out instructions with regards towels/linens etc are followed. Should the villa be in need of any special cleaning due to heavy soiling and mistreatment then we reserve the right to withhold any monies from the security deposit.
Force Majeure
Unfortunately, there may be circumstances completely beyond property owners and management company's control and contemplation, in which the property might not be available for your booking.
Neither the owners or caretakers will be liable for loss or delay occasioned by, but not limited to, any of the following: strikes, riots, political unrest, hostilities, war or threat of war, terrorist activity, industrial disputes, fire, flood, technical/weather problems with transport, aircraft grounding, closure of airports or ports, weather conditions or indeed any other event beyond our or our caretakers control.
Owner/Management Company Access.
The owners or their management company shall be allowed access at any reasonable time during your stay.
The management company are on call 24 hours a day for emergency items only. General enquiries or reporting minor issues are to only be reported during office hours.
Villa Rules
Solana is a resort community. The actions of all members of your party should not interfere with the enjoyment of other holidaymakers or vacationers.
Please observe the following:
• Please do not play loud music or engage in any activity that may cause inconvenience to your neighbours after 11.00pm in the evening or early in the morning.
• No small fires or portable cooking equipment, including charcoal BBQ's may be used on the property
• Please do not set the air-conditioning to an unreasonable temperature. Doing this can cause icing within the unit and ultimately failure which is a costly repair. If this should happen during your stay you may be held responsible for the repair of the unit.
• In the event that any member of your party behaves in a way that is likely to cause distress, danger, annoyance or complaint to any other holidaymakers, or damage to any property, the owners or their management company reserve the right to terminate your rental agreement immediately. The owners or their management company will not be liable for any costs you will incur, nor shall we pay any compensation, nor make any refunds due to this action.
• Please do not sit or lounge on indoor furniture with wet garments on, or if you have sun protection lotion on that may stain the furnishings.
• Trash disposal information will be displayed in the villa. Please note that the HOA can impose a fine if the rules aren’t followed and you will be responsible for payment of this. In particular trash cans must be used (do not leave bags out for collection). If the trash cans are full you may dispose of trash bags in the dumpsters situated within the resort. Trash cans must only be left out on collection days and must be removed from the street as soon as possible after collection.
• Garage door. The garage door must not be left open other than for access or an HOA fine may be imposed.
• Guests must ensure they secure the villa at all times - especially if it is left unattended.
• This list is not exhaustive and may be updated or revised as deemed necessary and will be communicated in the welcome book.
Liability Disclaimer
The owners and the management company of the property accept no responsibility whatsoever for death, personal injury, accidents, loss or damage to persons or personal belongings however caused. The use of all accommodations and amenities including the pool is entirely at the user’s own risk.
The owners and the management company cannot accept responsibility for the sudden failure of villa equipment but will take immediate reasonable action to rectify any such failure upon notification by the guests.
If the pool heater cannot reach optimum temperature due to any adverse cold weather conditions the owners or the management company cannot accept liability.
It is a condition of any booking with us that all members of the Party specified on the booking form are covered by travel insurance which carries adequate protection against delays, cancellations, loss of or damage to luggage and personal belongings as well as adequate medical insurance for the USA.
Security of the villa and guest’s personal effects is the responsibility of the guests during their stay.
Provided at the villa are a selection of pool accessories, games and other equipment for your added enjoyment. Their use is strictly at the guests’ own risk. Parents must use their discretion before allowing children to use any toys or equipment as to its suitability for their age. We cannot accept any responsibility for accident or injury from their use.
